Business Manager Position Description
Position Title: Business Manager
Reports to: Executive Director
SUMMARY: The Business Manager must keep accurate and detailed records of all transactions that involve money coming into or being paid out by the Center. Reporting to the Executive Director, the Business Manager prepares financial reports and brings them to the Executive Director for approval and discussion. The Business Manager works with the Director of Development and supports and assists with some of their correspondence and record keeping.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Maintain accurate records in QuickBooks Non-Profit of all A/R and A/P.
- Prepare and mail Donation Receipts to all donors.
- Maintain and prepare Payroll, currently paid every two weeks. Includes collecting and managing staff timesheets, mileage, reimbursable receipts, etc.
- Receive, reconcile, and deposit all monies in as timely a manner as possible.
- Develop and maintain close working relationships with the other Staff and Key Volunteers at the Center.
- Work with the Executive Director to prepare and monitor annual budgets.
- Become and remain proficient at managing and using the Center’s Donor Database system.
- Ensure, with the Development Director, that all donor information is entered in the Donor Database.
- Work with the Board Treasurer on routine financial matters and help to prepare documents needed for the monthly board meetings and annual audit
- Assist the Director of Operations with the oversight of program grant budgets
- General offices responsibilities, i.e. mail and ordering of supplies, responding to phone messages.
- Other duties as assigned by the Executive Director
IDEAL PROFESSIONAL EXPERIENCE
The ideal candidate will have the following experience and qualifications:
- Previous work experience in the non-profit world, in order to be familiar with the different recordkeeping requirements for 501c3 organizations.
- Detail oriented
- Demonstrated experience managing budgets, especially for a variety of grant types
- Demonstrated the ability to work in a hands-on environment with limited resources; computer knowledge must include accounting (Quickbooks Non-Profit) and Microsoft applications (Word, Excel, Outlook).
- Bachelor’s degree preferred.
