Basic Function: This Operations Associate position maintains the organization’s bookkeeping and accounting systems and ensures organizational compliance with all grant awards and contracts.
Operations Associate Bookkeeping & Grant Compliance
- Use Quickbooks to keep general ledger and accounting records of all expenditures and revenues, including tracking invoices and receivables.
- Accurately code grant specific expenditures and revenues to the appropriate awards.
- Conduct reconciliations of all accounts and awards to ensure accuracy
- Issue financial statements and pull reports as requested.
- Provide information to the Executive Director, Board, external accountant and auditors.
- Maintain orderly accounting filing and grant management filing systems
- Comply with local, state, and federal government financial reporting requirements
- Prepare the schedule of federal and state financial awards.
- Process donations and manage BlackBaud, ETapestry and similar fundraising tools.
- Monitor outstanding receivables.
- Serve as a liaison with grant and contract officers.
- Compile data and submit monthly, quarterly, semi-annual and annual and closeout reports and invoices. Ensure quality of collected and reported financial & grant data, including program statistics.
- Track and report grant proposal submissions and progress.
- Review and interpret grant agreements for compliance. Track and brief staff on relevant regulations and policies. Identify emerging trends in grant regulation and policies and ensure organizational compliance.
- Monitor funded projects to prevent over-expenditure of funds and audit disallowance and ensure awards are fully expended.
- Provide clerical and administrative support to management as requested
Desired Qualifications : We highly recommend people of all educational background and life experiences apply. The bookkeeper candidate should have training and experience in accounting or business administration, as well as knowledge of non-profit bookkeeping, generally accepted accounting principles and grant contract compliance. The ideal candidate is able to take initiative. A tactical thinker who works with accuracy and who meets deadlines and exacting standards a must. Preference will be given to candidates with a working knowledge of the Quickbooks accounting software package, and BlackBaud products.
