Program Assistant – Division of Education and Training

Under the supervision of the Program Coordinator, the Program Assistant will provide administrative and program-related support to the Division of Education and Training of The Fenway Institute, Fenway Health. Through its National LGBT Health Education Center, the Division of Education provides educational programs, resources, and consultation to health care organizations across the nation with the goal of optimizing quality, culturally-responsive and cost-effective health care for lesbian, gay, bisexual, and transgender (LGBT) people. The Division also works with HIV/AIDS service organizations around organizational sustainability and improving HIV treatment outcomes through its National Center for Innovation in HIV Care.
A successful applicant will be someone who is able to handle multiple tasks, keep careful track of details, adapt to changing demands, prioritize assigned duties, and make informed decisions. The applicant must also demonstrate excellent verbal and written communication skills, and must be able to plan ahead and work independently. Prior experience with Microsoft Office applications is required.

Typical duties include: planning and scheduling meetings and conference calls; coordinating logistics for speaking engagements; arranging travel; communicating with faculty and clients; answering and directing calls and emails; coordinating accreditation for continuing education activities; completing purchase orders and reimbursements; using Google forms to track programs and payments; updating website resources and reference databases; formatting PowerPoint presentations; supporting the team in developing and writing reports and training materials; and mailing, faxing, and filing as needed.
- Bachelor’s degree required
- Prior related work or internship experience required
- Strong interest in and basic knowledge of LGBT health
- Demonstrated excellence in written and verbal communication skills
- Demonstrated computer skills (PowerPoint, Outlook, Google Docs, Microsoft Word, Excel)
- Demonstrated ability to create and follow office and administrative systems
- Demonstrated ability to plan and implement projects and meet deadlines
- Ability to handle multiple tasks, prioritize assigned duties
- Ability to work independently and as part of a small team
- Ability to work harmoniously with diverse groups of professionals, and within a team environment
- Experience working with an ethnically, culturally, and racially diverse staff preferred
