Lambda Legal seeks a Database and Reports Associate to join their Development Department. This position will be primarily responsible for the maintenance of constituent and gift records, creating spreadsheets, and performing data entry. Lambda Legal is a national, nonprofit organization committed to achieving full recognition of the civil rights of lesbian, gay, bisexual, and transgender (LGBT) people and those with HIV through impact litigation, education, and public policy work. Database and Reports Associate Lambda Legal
Responsibilities The a Database and Reports Associate (DRA) will maintain constituent and gift records, create spreadsheets, perform data entry, maintain daily cash receipt logs, run daily and monthly reports and perform revenue reconciliations.
S/he will also be responsible for the following:Cash Log: Prepare daily cash receipts, income and cash reports. Prepare and complete daily bank deposit. Reconcile the Development Database reports to the Cash Receipts Journal on a daily basis. Must make sure all gifts ( convio, EFT’s, checks and cash) are recorded on the cash log.
Reports: In charge of running closing reports (income summaries and detail gift reports) at the end of the day to make sure Raiser’s Edge ties into our daily income. Work with Database and Reports Manager to generate monthly, quarterly and yearly reports and queries to reconcile our Raiser’s Edge numbers with our accounting department’s numbers. Run maintenance queries and reports to ensure data integrity.
Constituent Management: Review and create individual and organization database records as needed. Perform other maintenance tasks (such as merging records) as required. Make adjustment to records when requested.
Gift Entry: Handle primary gift entry for all Events gifts, Lockbox donations and all gifts requiring special handling. Examine all entries ensuring database integrity which includes; verifying funds are allocated properly to appeal, partner’s gifts are soft credited, honorarium and memorial donations are set up and acknowledged, matching gift arrangements are processed, and all major donor gifts are routed to the appropriate person.
Gift Backup: Maintain revenue batch filing, including batches held in storage. Maintain audit required files as needed. Provide Membership with backup for all gifts over $250 and/or those containing special requests. Communicate with membership about any problems that arise with lockbox gifts. Maintain records for United Way, CFC, workplace giving and stock gifts.
Matching Gift Program Maintenance: Manages and maintains Lambda Legal’s matching gift / workplace giving program. Implements the entry of matching gift records into Raiser’s Edge according to Constituent ID Number, payment type, Appeal/Package coding, and non-deductibility value (and insures that all new pledges, changes and deletions are submitted to matching gift agencies on a regular basis.)
Support: Respond to inquiries regarding entered data, and make corrections as needed. (Including but not limited to name/address/salutation integrity, gift allocation, pledge payments, giving levels, marital status, event information, solicitor credits, and donor attributes).
Qualifications The DRA must have good written and oral skills. They must have data entry experience, preferably with Raiser’s Edge and computer fluency in Word and Excel and Lotus Notes (preferred). The Database and Reports Associate needs to be able to concentrate and be detail oriented.
